1 Purpose & Program Overview

This document sets out the Preventative Maintenance (PM) Program for the data centre facility. The program establishes a structured, recurring schedule of cleaning, inspection, and condition assessment activities designed to identify and correct contamination, airflow, and physical condition issues before they escalate into equipment failure or unplanned outages.

Unlike reactive maintenance, which responds to faults after they occur, this program is deliberately front-loaded: routine surveys and testing surface early warning signs — dust loading, airflow imbalance, corrosion, moisture ingress, or degraded cable management — while they are still low-cost, low-risk items to remediate.

Program Objectives

  • Protect uptime — reduce the risk of contamination- or airflow-related equipment failure across mechanical and electrical systems.
  • Maintain cleanliness compliance — keep white space and sub-floor environments within ISO 14644-1 / ASHRAE particulate and gaseous limits.
  • Preserve airflow design intent — ensure hot/cold aisle separation and containment continue to perform as designed as the facility evolves.
  • Create a documented condition history — build a trended record of facility condition to support capital planning and audits.
  • Support compliance and insurance requirements — provide evidence of due diligence for internal governance, client SLAs, and underwriters.

2 Scope of Services

The program covers the following core service streams, described in detail below:

  • Scheduled cleaning programs (white space, sub-floor, and mechanical plant)
  • Routine and detailed inspection programs (visual, instrumented, and thermal)
  • Sub-floor surveys of the raised-floor plenum and services
  • Particulate and gaseous contamination testing
  • Detailed condition reporting and remediation tracking

2.1 Scheduled Cleaning Programs

Cleaning is scheduled by zone and risk level rather than performed ad hoc. White space cleaning uses data-centre-rated equipment and methods (HEPA-filtered vacuuming, anti-static wiping, non-shedding materials) to avoid introducing particulate or electrostatic risk during the clean itself.

  • Routine surface and floor cleaning of white space, aisles, and containment
  • Sub-floor plenum cleaning to remove settled dust, construction debris, and cable off-cuts
  • Mechanical plant room cleaning, including CRAC/CRAH units, coils, and drain pans
  • Electrical room and switchgear area housekeeping to reduce dust-related tracking risk

2.2 Inspection Programs

Inspections combine frequent, low-friction visual walk-downs with periodic instrumented checks so that developing issues are caught between major service events.

  • Weekly visual walk-downs of white space for leaks, obstructions, and housekeeping standards
  • Airflow balancing checks and hot-spot identification using handheld anemometers and thermal imaging
  • Containment and blanking-panel integrity checks to prevent bypass and recirculation airflow
  • Filter condition inspection and scheduled replacement across mechanical plant
  • Cable containment and pathway audits, including fire-stopping and abandoned-cable review

2.3 Sub-Floor Surveys

The raised-floor plenum is treated as an active part of the cooling system, not a hidden space. Sub-floor surveys involve systematic tile lifting across defined grid zones to inspect and photograph plenum condition.

  • Contamination assessment — dust, debris, corrosion products, and evidence of past water ingress
  • Airflow obstruction mapping — cable congestion, abandoned infrastructure, and damming effects on tiles
  • Structural condition — pedestal stability, tile seating, and grounding/bonding continuity
  • Leak detection cable and moisture sensor function checks where installed

2.4 Particulate & Gaseous Contamination Testing

Independent testing verifies that white space and sub-floor air quality remain within recognised data centre cleanliness thresholds and provides trend data to detect gradual degradation.

  • Airborne particulate counts benchmarked against ISO 14644-1 cleanroom classification
  • Gaseous contamination screening (e.g. sulphur and chlorine-bearing compounds) against ASHRAE guidance
  • Surface dust deposition sampling at raised-floor and equipment intake locations
  • Corrosion coupon or reactivity monitoring in higher-risk environments

2.5 Detailed Condition Reporting

Every cleaning, inspection, survey, and test cycle feeds into a structured condition report, giving operations and leadership a single, trended view of facility health rather than a series of disconnected checklists.

  • Zone-by-zone findings with photographic evidence and severity ratings
  • Trend comparison against previous reporting cycles
  • Prioritised remediation register with recommended timelines
  • Executive summary suitable for governance and client reporting

3 Maintenance Schedule & Frequency

The table below summarises the standard recurring cadence for each activity. Frequencies are baseline recommendations and should be adjusted for facility age, criticality tier, and local environmental risk (e.g. construction activity, coastal or industrial air quality).

7 Next Steps

To stand up or refresh this program at a given facility, the recommended sequence is:

  • Baseline audit — conduct an initial condition assessment, sub-floor survey, and contamination test to establish a starting benchmark.
  • Schedule confirmation — agree final frequencies per the table in Section 3, adjusted for site-specific risk factors.
  • Resourcing — confirm internal team coverage and any third-party specialist contracts required (e.g. particulate testing).
